Litigation Secretary (Senior-Level)
Location: La Jolla (UTC Area), San Diego, CA
Schedule: Full-Time | Hybrid (3 Remote / 2 In-Office after training)
Compensation: $85,000 - $114,321 + Full Benefits
A premier international labor and employment law firm in San Diego's UTC area is seeking a highly skilled Litigation Secretary to support a dynamic team of attorneys. This is a key role responsible for ensuring the efficient management of litigation matters and delivering exceptional client service.
We are seeking candidates with strong state and federal civil litigation experience, a proactive mindset, and the ability to thrive in a fast-paced environment.
Key Responsibilities
- Format and finalize legal documents including pleadings, briefs, correspondence, and discovery
- Prepare document "shells," finalize filings, and ensure compliance with California, state, and federal court rules
- Handle electronic filing (e-filing) in both state and federal courts (required)
- Maintain and manage attorney calendars (Outlook and Milana), including deadlines, hearings, and appointments
- Perform litigation docketing, ensuring critical dates and deadlines are accurately tracked
- Proofread and review all documents for accuracy, completeness, and formatting consistency
- Maintain and organize client and case files in document management systems (e.g., iManage, NetDocuments)
- Coordinate depositions, including scheduling court reporters, videographers, and conference rooms
- Communicate with court clerks to schedule hearings and obtain information
- Arrange attorney travel and logistics as needed
- Enter, review, and revise time entries (Aderant or similar systems), ensuring proper litigation coding
- Prepare expense reports and reimbursements (Concur or similar)
- Review vendor invoices and submit for payment processing
- Provide professional and responsive telephone and administrative support
Required Qualifications
- Minimum of 5 years of experience as a litigation legal secretary
- Proven experience supporting state and federal civil litigation matters
- Strong knowledge of California court rules and procedures
- Hands-on experience with docketing and deadline management
- Experience preparing and formatting:
- Tables of Contents and Authorities
- Pleadings and discovery documents
- Proficiency with legal and business tools, including:
- MS Office (Word, Outlook, Excel, PowerPoint)
- E-filing platforms (PACER, ECF)
- LexisNexis
- Document Management Systems (iManage, NetDocuments)
- Milana (or Compulaw-based systems)
- Concur (preferred)
- Strong proofreading, organizational, and multitasking skills
Preferred Qualifications
- Experience in labor & employment litigation
- Familiarity with discovery processes from start to finish
- Experience supporting multiple attorneys in a fast-paced environment
- College degree (preferred, not required)
